tasks & Responsibilities

The incumbent is responsible for facilities hire, events and venues management of Shaw Foundation Alumni House (SFAH). This include, but not limited to, coordination of the day-to-day facility / operational support with Housekeeping and AV vendor for the smooth running of events.

Client Management (SFAH Venues Services)
• Maintain / establish service excellence with client/ venue hirer on event management, event coordination, booking and use of SFAH facilities (conduct site recce and attend to hirer’s requests) and provide value-added service in order to generate new and repeated clients/hirers
• Customise conferencing requirement and conferencing product development
• Monitor customer service standards on events held at SFAH (respond to client feedback/complaints)
• Proper documentation of booking/hiring contracts, preparation of Sale Summary / Quotation, and coordinating on invoice and payment matters with Finance team
• Work with stakeholders, housekeeper, AV vendors, Facility Manager and Security to ensure smooth set up and logistics of event
• Work closely with SFAH Security team on car parking matters
• Assist Head, Operations in preparing monthly sales report for Management
Marketing and Branding
• Market and execute strategies to ensure optimal and effective management of hired venues
• Initiate and maintain information on SFAH’s hired venues
• Be updated with trends and value of hired venues in Singapore and Overseas
• Identify and initiate contacts within NUS alumni and communities to enhance the value of SFAH as a hired venue
Occupant Partner and Administration
• Work with MarComms team to manage and update SFAH event listing on website
• Provide assistance in keeping track on all building / operations contracts and invoices
• Assist in venue upgrading projects
Other tasks
• Assist all other OAR sections as and when required
• Assist in University events as and when necessary
• Involve in University-wide initiatives and projects that will enhance the value of SFAH to NUS Alumni and Communities.

• A recognized University degree.
• Minimum 2 years working practice in customer-centric environment with significant practice in event management and operations, property leasing / management.
• Possess strong analytical, conceptual and problem-solving skills and is articulate, poised and presentable.
• Good negotiation skills and able to communicate with people from diverse backgrounds.
• Meticulous, adaptable and able to multi-task in a fast paced environment.
• A good team player who possess the capability for hands-on and operational work.
• Proficient in desktop applications like Microsoft Office (Word, Excel and Power point), expertise of design software will be an advantage.
• Must be responsible and reliable with high work integrity.
• Good command of English in written correspondence and speaking.
